Topaz Research (“Topaz”) values your privacy. We provide various software platforms, through which users may evaluate research workflow, review online resources that users have made , and perform other knowledge management functions, among others. Certain features of our Services may be customized, and your company may collect information about your use of the Site and our Services. This Policy does not govern any third party information collection made available through our Services.

By visiting the Site, or using any of our Services, you agree that your personal information will be handled as described in this Policy. Your use of our Site or Services, and any dispute over privacy, is subject to this Policy and our Terms of Service , including its applicable limitations on damages and the resolution of disputes. Our Terms of Service are incorporated by reference into this Policy.

What Information Do We Collect About You and Why?

Information We Collect From You and About You. We collect information from directly from administrators when they set up accounts for use on our service, including, work contact information (name, phone number, email address, mailing address). Users are required to access our Services using a username and password. Your company/administrators determine which individuals will have access to our Services. As a service provider, we will store information on our servers about our users, such as a user’s name and work contact information, practice group, and other information that the company chooses to submit (for example, your title, timekeeper ID, and other remarks). We do not use this information directly, however, unless your Company provides it directly to us. For example, we may obtain a user’s name and work contact information from an administrator for customer service and trouble-shooting purposes.

Information We Collect Automatically. We use analytics on our Site, and those analytics may collect certain information about your use of our Site using cookies, web beacons, and other tracking, such as the length of time that you visit our Site, the links that you click, and how you use our Service. Please see the section below about “Cookies and Other Tracking Devices” for additional information.

How We Use Your Information

We use the information that we collect from and about you (including administrators and users for the following purposes:

  • To provide our Services, to respond to inquiries, to fulfill orders, and for other customer service purposes.
  • To understand how persons access and use our Site and Services, both on an aggregated and individualized basis, in order to improve our Site and Services and respond to user desires and preferences, and for other research and analytical purposes.

From time to time, we may send emails to administrators about our products and services, such as product/software updates, features of our Services, and account maintenance, among other purposes.

We do not share your information with third parties for their own marketing purposes. We may share the information that we collect about you, including your personal information, as follows:

  • Other Users of Our Site. Depending upon the preferences your administrator selects, information regarding a user’s searches will be viewable by certain administrators within your company. Please consult with your company about what information they collect about you. In addition, for our Quatrove users, users within the same company may be able to see the name, contact information, and practice group of other company users.
  • Service Providers. We may disclose the information we collect about users and administrators to third party vendors, service providers, contractors or agents who perform functions on our behalf, such as entities that assist us in providing customer service and in trouble-shooting

We also may share your information in the following situations:

  • Business Transfers. If we are acquired by or merged with another company, if substantially all of our assets are transferred to another company, or as part of a bankruptcy proceeding, we may transfer the information we have collected from you to the other company.
  • In Response to Legal Process. We also may disclose the information we collect from you in order to comply with the law, a judicial proceeding, court order, or other legal process, such as in response to a court order or a subpoena.
  • To Protect Us and Others. User Generated Content

Certain portions of our Site invite you to post content. These blogs and other pages are available solely within the user defined environment established within your company. In other words, our customers will not be able to see content posted by other customers. If you post content to our Site, all of the information that you post will be available to all other users within your company, or as otherwise defined by your company’s account administrator.

Security of My Personal Information

We have implemented commercially reasonable precautions, including, where appropriate, password protection, encryption, SSL, firewalls, and internal restrictions on who may access data to protect the information we collect from loss, misuse, and unauthorized access, disclosure, alteration, and destruction. Please be aware that despite our best efforts, no data security measures can guarantee 100% security.

You should take steps to protect against unauthorized access to your password, phone, and computer by, among other things, signing off after using a shared computer, choosing a robust password that nobody else knows or can easily guess, and keeping your log-in and password private. We are not responsible for any lost, stolen, or compromised passwords or for any activity on your account via unauthorized password activity.

Access To My Personal Information

You may modify personal information that you have submitted by logging into your account and updating your profile information through the “My Settings” link. Please note that copies of information that you have updated, modified or deleted may remain viewable in cached and archived pages of the Site for a period of time.
